In all cases, there are general and repetitive processes referred to within the document that can be found here:
Declined payments:
If a transaction is declined, the POS device or terminal will return an error code. Based on the error code, cancel and repeat the transaction.
For example, if the code is:
- ‘Insufficient funds’ = merchant asks the cardholder to use a different card.
- ‘System error decline’ = merchant should raise a support request.
If a card is inserted, the terminal prompts the cardholder to remove the card from the card slot.
Presentation of a card
The cardholder has options for using their card or payment device (such as their phone) for payments.
When a calculation is completed for a purchase or cash out, a graphic on-screen shows cardholders how to present their card:
- Tap (Apple Pay, Google Pay, contactless cards) - cardholder taps a contactless device or card on the contactless symbol on the printer roll cover.
- Insert (chip cards) – cardholder inserts a chip card into the card slot at the bottom of the terminal. The chip on the card must face up and chip end in first). The terminal will display a reminder to remove the card.
- Swipe (magnetic stripe cards) – The cardholder swipes their card through the magstripe reader on the side of the terminal.
NOTE: If contactless option is offered, the cardholder is asked to present the card or device on the contactless symbol on the printer roll cover. Alternatively they are asked to insert their chip card into the slot at the bottom of the terminal or swipe the magstripe on their card through the magstripe reader on the side of the terminal.

Purchases
To complete a purchase:
- The merchant enters the purchase amount into the terminal and taps 'Purchase'. If using a Point of Sale (POS) device, it automatically sends the transaction amount to the terminal.
NOTE: To edit the transaction amount, use the backspace to delete a single number at a time or tap the ‘Clear’ key to delete the entire amount.
2. Cardholder presents a card or device (such as a phone with a payment app) and enters a PIN (if required). (Graphic on terminal screen shows cardholders how to present their card.)
- Cardholder selects account type and enters their PIN, if applicable.
- Terminal processes the transaction and indicates if the transaction is 'Approved' or 'Declined'.
Receipt options
The terminal automatically prints the merchant receipt and displays receipt options for the cardholder. If the cardholder requests a receipt, select ‘PRINT’ to print the cardholder receipt or ‘No Thanks’ to return to the payment screen.

Purchase + 'Cash Out'
In the initial set up of a terminal, the merchant may establish set, cash out amounts for the convenience of the merchant and cardholder. This may include an option for the cardholder to request a cash out amount unique from the preset amounts that they will enter using the terminal PINpad.
When a cardholder requests cash out plus their transaction:
- Merchant enters the transaction amount. (Edit the transaction amount by using the backspace to delete a single number at a time or tap the ‘Clear’ key to delete the entire amount.)
- Terminal prompts the cardholder to select cash out amount.
NOTES: For 'Cash Out' transactions, magstripe method is available only in NZ. If ‘No Cash Out’ is selected, the transaction proceeds with no ‘Cash Out' amount added. POS device automatically sends the purchase total with or without ‘Cash Out’ request to the terminal.
- Terminal summary screen displays 'Purchase + Cash Out' details.
- Cardholder confirms the amount.
- Cardholder is asked to presents a card or device (such as a phone with a payment app) and enter a PIN (if required). (Graphic on-screen shows cardholders how to present their card.)
- Terminal processes the transaction and indicates if the transaction is 'Approved' or 'Declined'.
- Cardholder is offered receipts options and selects their preference.
- Merchant taps 'DONE' to return to the payment screen.
- Terminal will display the approved 'Cash Out' amount for the merchant to pay the cardholder.
- If the card is inserted, the terminal prompts the cardholder to remove it.
'Cash Out' only
A cardholder may request cash out only. When this happens, the merchant offers option amounts from a pre-set list to the cardholder or taps ‘Other’ and enters the specific, requested amount into the terminal.
- 'Cash Out' amount is displayed on the terminal.
- The merchant taps 'Cash Out Only’.
- Cardholder is asked to presents a card or device (such as a phone with a payment app) and enter a PIN (if required). (Graphic on-screen shows cardholders how to present their card.)
- Cardholder is asked to select account type and enter their PIN, if applicable.
- Terminal processes the transaction and indicates if the transaction is 'Approved' or 'Declined'.
- ‘Cash Out’ summary screen displays.
- Merchant pays approved ‘Cash Out’ amount to the cardholder.
- Cardholder is offered receipts options and selects their preference.
Cash out options and purchase total

Purchase + Tip
Tipping offers the cardholders the option to add a tip to their purchase. Typically, the merchant sets specific tip amounts into the terminal during set up, including the option for the cardholder to use the PINpad to select a unique tip amount.
To process a transaction with a tip added:
- Merchant enters the transaction amount.
- Terminal prompts the cardholder to 'Enter Tip' amount from pre-set amounts, use the PINpad to set their own tip amount or choose, 'NoTip'.
- Terminal displays the 'Total without Tip', the 'Tip' amount and 'Total' that includes the tip.
- Cardholder confirms the amount.
- If the cardholder opts to select a unique tip, they are presented with the PINpad to enter the amount.
- Cardholder is asked to presents a card or device (such as a phone with a payment app) and enter their PIN (if required). (Graphic on-screen shows cardholders how to present their card.)
- Terminal processes the transaction and indicates if the transaction is 'Approved' or 'Declined'.
- Cardholder is offered receipts options and selects their preference.
- Merchant taps 'DONE' to return to the payment screen.
- If the card is inserted, the terminal prompts the cardholder to remove it.

Option to print receipt
MOTO (mail-order-telephone order)
To process a MOTO, a cardholder is not required to be in the store to pay. The transaction may be processed as a ‘card-not-present’ MOTO (mail-order-telephone-order) transaction' on the terminal.
NOTE: For MOTO payments, a manager or cashier passcode may be required.
To process a MOTO payment, the cashier/ merchant:
- Enters the transaction amount in the terminal.
- Taps ‘Other’.
- Taps ‘Manual Card Entry’.
- Taps ’Mail Order’ or ‘Phone Order’.
- Enters the card number.
- Taps 'Enter'.
- Taps 'Confirm'.
- Enters the card expiration date in the format MM/YY.
NOTE: For cardholder security, the terminal does not display the full card number on screen as it is entered.
- The terminal processes the transaction and displays ‘Approved’ or ‘Declined’.
- Selects ‘PRINT’ for a cardholder receipt, or ‘NO THANKS’ and returns to the payment screen.

Refund
Processing a refund is similar to processing a payment through MOTO (see section directly above).
The cashier/ merchant:
- Enters the refund amount in the terminal or POS device (Terminal will display the refund amount).
- Taps 'Other'.
- Selects 'Refund'.
- Enters the terminal passcode.
- Taps 'Enter'.
- Taps 'Confirm'.
NOTE: There are two roles and levels of passcodes set up when the terminal is configured - manager and cashier - each having different levels of authority. The merchant can change the role by clicking on the three dots at the top, right hand side of the terminal screen. If the dollar amount is within the cashier limit, the manager role can still be used to approve it when the manager is using the device and doesn't know the cashier password.
Refund authentication and amount
The cardholder presents their card or device and enters their PIN (if required) and the terminal processes the refund and displays ‘Approved’ or ‘Declined’.
NOTE: The terminal may prompt for the cardholder's signature. If the card is inserted, the terminal prompts the cardholder to remove the card.

Surcharging
To recover the costs associated with processing card payments that banks and payment processors add to processing digital payments, merchants may pass this fee off to the cardholder. For transparency, the payment terminal will display the fee to the cardholder.
The merchant must enable surcharging on a terminal (including for contactless transactions). Once enabled, for all surcharge-enabled transactions, the card presentation screen will automatically:
- Detect when a transaction is a 'Scheme transaction' (meaning affected by a surcharge).
- Apply an pre-determined amount to the transaction total.
- Display a notification to the cardholder: 'Surcharge may apply'.
To process a purchase transaction with a surcharge added:

Merchant enters the transaction amount into the POS terminal.
NOTE: The transaction total displays on the screen with a note: ‘Surcharge may apply’ with a Surcharge (i) button (beside the cancel button) on the card presentation screen.
- When the ‘Surcharge’ button is clicked, a preview of applicable surcharges for the transaction is displayed.
- Cardholder is prompted to confirm the transaction total with the surcharge amount or decline the purchase.
- If the cardholder chooses to continue they present their card (and enter their pin, if required).
- Terminal processes the transaction.
- On the ‘Authorising' screen, the total transaction amount with ‘Surcharge’ added is displayed with the option to ‘Approved’ or ‘Declined’.
NOTE: If a cardholder has inserted a card, the terminal will prompt them to remove the card from the chip card slot.
- Cardholder selects preferred receipt option.
- Merchant receipt prints.
Note: The options may vary slightly depending on the POS provider.
Surcharge details, accept or cancel and card options

Pre-authorisation (Pre-Auth)
Technically, pre-authorisation is a hold that goes on the card for the designated amount. It reduces the available balance on a credit card. Merchants use it to authorise future debiting of a cardholder account/ card. This feature is used primarily in hospitality or other reservation environments, for example:
- Bar tabs or similar items where the final amount is unknown. Typically this is done for a nominal amount and then closed off for the total at 'Completion'.
- Hotels upon check in for incidentals such as the minibar where a $1.00 'Pre-auth' is taken.
- Incidental holds for things like car hire or scooter hire in the event of stolen or damaged property.
NOTE: Pre-authorisation transactions must only be performed on scheme credit and debit cards where authorised and must be reconciled to be 'complete'
To process the initial 'Pre-Auth':
- Merchant clicks 'Other' on the terminal opening page.
- Merchant taps 'Pre-Authorisation'.
- Merchant enters a nominal amount into the terminal, such as $1.00 or the cardholder's requested, pre-authorised limit amount.
- Cardholder presents their card and enters their PIN, if required.
- Terminal processes the transaction.
- On the ‘Authorising' screen, the total transaction amount, with ‘Surcharge’ added, is displayed and the pre-transaction is ‘Approved’ or ‘Declined’.
- Merchant receipt prints.
- Cardholder selects preferred receipt option.

Complete Pre-Authorisation
The cardholder may or may not have used the entire 'Pre-Auth' amount or they may have exceeded the authorised limit. The final step is 'Pre-Auth' is ‘Completion’.
'Completion' is used to finalise an earlier, pre-authorised series of transactions and charge the cardholder the final and total amount.
To process ‘Completion’:
- In 'Connect Express', tap 'Transaction History'.
- Search for and review the 'Pre-Auth' transaction details in the ‘Order History’ screen.
- Select and review the details in 'Transaction History'.
- Initiate the ‘Pre-Auth’ completion from the POS.
- Select ‘Same Amount’ or ‘New Amount’ (Max variance is 10%).
- Once a transaction is processed, the cardholder selects the preferred receipt option.
- After pre-authorisation is completed, the order detail screen will show only the receipt option.

Delete a Store And Forward (SAF) transaction and error reversal
SAF is a way data is stored temporarily and sent later. Often used in systems with unreliable network connections like EFTPOS terminals. When a payment terminal loses its connection, SAF allows it to temporarily accept and store transactions offline, that are then automatically forwarded to the bank for processing once the connection is restored. This ensures a business can continue accepting card payments during a network outage, though merchants should be aware of the increased risk associated with these offline transactions.
However, if an offline transaction or error reversal has not been successfully cleared from the queue after exhausting all retry attempts, they must be manually deleted to unblock additional transactions from remaining in the offline queue.
To delete these transactions or reversals you must have an Admin password (check with your manager), then:
- Go to the status bar.
- Select either ‘Send Offline error notification’ or ‘Send Reversal Error Notification’.
- Select ‘Notifications’.
- Review any remaining transaction details.

Select specific notifications to delete.
NOTE: Print any transactions, receipts or reversals before deleting them to ensure there is a record of what was deleted.
- Once the details have been printed, tap 'Delete' to clear the queue.
SAF Diagnostic
From the 'Launcher' screen, tap ‘SAF Diagnostics’ to view the current status of transactions and force-push pending transactions out of the queue.
- Pending - the number of offline, approved transactions pending for upload to the host.
- Declined - the number of offline, approved transactions declined when uploaded to the host.
- Reversals - the number of reversals that have failed.

NOTE: Any section with at least one transaction will have a blue, down-arrow before ‘More details’. Press the blue arrow to view additional details.
SAF diagnostic detail view contains all transactions for the section selected.

To trigger the deletion flow:
- Go to ‘SAF diagnostics detail view’.
- Enter the Admin password.

- If authentication is successful, the Delete confirmation screen displays.
